I've talked to a lot of schools about their &lt;a href="http://www.redcort.com/timeclock/"&gt;time and attendance software&lt;/a&gt; needs over the years and I've come to realize that in most cases, schools use time clock software for three reasons.&lt;br /&gt;&lt;br /&gt;&lt;b&gt;Employee Payroll&lt;/b&gt;&lt;br /&gt;One reason schools use time clock software is to track hours worked for non-salaried employees to make payroll processing more efficient. They need a time tracking solution for bus drivers, custodial workers, food service staff, administrative employees, and even for teachers that may get paid an hourly rate for after school programs.&lt;br /&gt;&lt;br /&gt;&lt;b&gt;Student Workers&lt;/b&gt;&lt;br /&gt;Another reason schools use time clock software is to track hours for student workers. These may be paid student workers or just volunteers that need to keep track of their hours for other reasons. These are usually part-time workers and the department roster changes every semester. We see this a lot with our colleges and universities.&lt;br /&gt;&lt;br /&gt;&lt;b&gt;Classroom Hours&lt;/b&gt;&lt;br /&gt;The third reason schools turn to time clock software is to log the number of hours spent in the classroom by students. We see this a lot with our technical and adult education schools that require minimum classroom training hours for certain technical fields. The iTunes software needs to be installed locally on each computer. That's the desktop part. But when you open the iTunes Store, it's like you're using a web app. Your locally running software populates with information based on an Internet connection, but you don't need to use a web browser to get there.&lt;br /&gt;&lt;br /&gt;We hope to bridge the same gap with our Virtual TimeClock software. We know customers are using their &lt;a href="http://www.redcort.com/timeclock/"&gt;employee time clock software&lt;/a&gt; for managing labor costs, automating client billing, and assigning labor hours to different cost centers. Traditionally, those that needed to track multi-tiered projects had to turn to expensive project management software or one of the hundreds of industry specific software packages.&lt;br /&gt;&lt;br /&gt;Unfortunately, this creates an information gap between the system that tracks time spent by employees working on different projects so you can accurately bill your clients, and your &lt;a href="http://www.redcort.com/timeclock/tour/time-clock-software-overview.html"&gt;time clock system&lt;/a&gt;&amp;nbsp;that just tracks labor hours so you can generate an accurate payroll check for your employees. This has traditionally been two separate software systems. Why not keep track of time spent working on different projects at the same time you're keeping track of hours worked for payroll purposes? Who's the customer, what's the job or project, and what's the activity. Sometimes those ideas come from internal sources like engineering and technical support team members. Sometimes those ideas come from customers who use our &lt;a href="http://www.redcort.com/timeclock/"&gt;time clock software&lt;/a&gt; everyday. And sometimes those ideas come from people just checking us out or comparing us to the competition. One of the things we've been pondering lately is how to capture the payroll processing workflow of many of the businesses we speak with. The flow of events often goes something like this:&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;ol&gt;&lt;li&gt;Employees print, verify, and sign off on time card hours&lt;/li&gt;&lt;li&gt;Employees submit time cards to manager for approval&lt;/li&gt;&lt;li&gt;Manager makes any necessary edits, approves or rejects time cards&lt;/li&gt;&lt;li&gt;Rejected time cards are returned to employee for clarification or further action&lt;/li&gt;&lt;li&gt;Approved time cards are submitted for payroll processing&lt;/li&gt;&lt;/ol&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Sometimes time cards go to an internal bookkeeper, sometimes they get sent to the accountant, and sometimes they go to an &lt;a href="http://www.redcort.com/payroll/payroll-services-and-payroll-software.html"&gt;online payroll service&lt;/a&gt;. Other times, staff bookkeepers pull labor hours directly from the time clock but are still wanting to verify that the overtime and leave hours have been approved by a manager or supervisor before processing payroll.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;So we're thinking of adding a time card approval process to a future release of Virtual TimeClock. This may include the ability to electronically sign time cards, the ability of managers to approve or reject time cards, reporting of approved and rejected time cards, and the ability to send time cards directly to a PDF or email. I'm happy to announce that we're now in the position to make this happen. In fact, engineering is finalizing the user interface specifications as I type this. Those of you who use our &lt;a href="http://www.redcort.com/timeclock/"&gt;employee time clock software&lt;/a&gt; on a regular basis know we work really hard to make the user interface intuitive and the steps needed to perform routine activities efficient. That can sometimes be a challenge with a desktop app. It can be an even bigger challenge with an iPhone app because you're trying to maximize functionality in a limited amount of screen real estate. "What's the big deal?" you ask, "You just gotta clock in and out. There are a dozen time tracking apps in the App Store that already do that." That may be true, but here's one of the things that will set ours apart from the competition.&lt;br /&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Most time tracking apps fall into two different categories. They're either a mobile replacement for a paper timesheet, which means you manually enter a start and stop time for each day and then the app will calculate the hours for you. Most of these can't handle overtime rules, and some of them won't even let you make multiple entries per day. I'm not entirely sure what you gain by using a timesheet app like this. The second group of time tracking apps function like timers. You select a task and then start the timer. You stop the timer, pick a different task, and then start the timer again. This can be especially handy when you're billing time for different customers, but what do you do with the data you've collected?&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;The new iPhone time clock app for &lt;a href="http://www.redcort.com/timeclock/tour/time-clock-software-overview.html"&gt;Virtual TimeClock&lt;/a&gt; will have the advantage of connecting to your existing time clock server. This means the data will be collected from a mobile device, sent to your time clock server, and be instantly available to other time clock clients, both desktop and mobile. You'll be able to capture payroll hours and labor hours per job or activity from a mobile time clock, and that data will be instantly available to those who need it for processing payroll or billing your customers. Easy to use doesn't mean simple in the sense of lacking features, but simple in terms of being uncomplicated. My daughter recently got the latest generation iPod Touch. Now it could be that teenagers just have a sixth sense that allows them to instantly adapt to new technology, but I think it's more than that. Apple has revolutionized the way we interact with the technological world, both in the realms of software and hardware. We sometimes refer to this as self documenting, which means you don't have to have special background knowledge or external documentation to get something set up or to work the way you want it to. Self documentation means the gadget, software program, or app guides you through everything you need to know to get it up and running. This can take the form of wizards, tips, or leading questions that get you where you want to go quickly and intuitively.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;We've tried hard to do the same thing with our &lt;a href="http://www.redcort.com/timeclock/"&gt;employee time clock software&lt;/a&gt;. Let's face it, there are two types of people in the world, those who read instructions and those who don't. I happen to be an instruction reader, my daughter is not. If she had to read a twenty page users guide just to get her iPod Touch up and going, it would not have been pretty. "What's the holdup?" you ask. Well, for starters we're unique in the time and attendance industry in that we provide &lt;a href="http://www.redcort.com/timeclock/"&gt;employee time clock software&lt;/a&gt; for both Apple Mac and Microsoft Windows computers. You can network any combination of Macs and PCs together, we don't care. These networked time clocks will work together seamlessly. Because we're a dual platform time clock solution (possibly soon to be three platform...), we need to deploy functionality and features that work basically the same on both Macs and PCs.&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Based on our research into biometric hardware, the fingerprint scanner seemed to have the most deployment flexibility. Retina scans may seem a little over the top as a buddy punching deterrent (but I'm sure they'd be extremely effective!). Biometric fingerprint scanners work on either touch or swipe technology. Swipe technology takes a little more practice to properly enroll the finger and then match the stored fingerprint template when clocking in and out. The touch sensors seem to be easier to use for doing both the initial fingerprint enrollment and subsequent matching. Here's how it works. Several unique features about your fingerprint are stored as a template based on an algorithm. It's entirely safe because they can't be extracted and used to reconstruct an image of your fingerprint later. This template is converted into a value that gets stored with your user ID in the time clock software database. Your fingerprint swipe is then used for both identification when punching in and out, and access to the different parts of the program. Think of it as a fancy password replacement.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Companies like &lt;a href="http://www.secugen.com/"&gt;SecuGen&lt;/a&gt; and &lt;a href="http://www.digitalpersona.com/"&gt;DigitalPersona&lt;/a&gt; have had biometric fingerprint scanners available for the PC market for a numbers of years, but nothing for the Mac. Well, that changed a couple of years ago when a company called UPEK released their &lt;a href="http://www.upek.com/"&gt;Eikon fingerprint scanner for the Mac&lt;/a&gt;. We were ecstatic and immediately contacted the company. It took several more years of going back and forth but they've finally released the development tools we need to integrate Virtual TimeClock with their fingerprint scanners on both Windows and Mac. The first issue is related to security, what we in the time and attendance industry refer to as "buddy punching". Buddy punching occurs when an employee leaves early and has his colleague punch him out at his scheduled end time. Or he's going to be late so he has his fellow worker clock him in when he's supposed to start. Both amount to time theft from the employer and are serious offenses. Now requiring a unique password to punch in and out can certainly help the situation, especially if the assigned worker passwords are something as private as social security numbers. However, you're still going to come across employees that don't care who knows information about them that's supposed to be private and secure if they can leave early and still get paid for a full day of work. The bottom line is, those who want to cheat the system will usually figure out a way, even if it's using silly Putty or Play-Doh to hack the fingerprint scanner. Sometimes this is just a matter of trying to force too many objects through a funnel at the same time, it's going to be slow or get clogged. You're going to create a logjam that's inefficient and frustrates employees, which may feed the buddy punching issue we've already discussed. A biometric time clock software solution may help relieve the problem, but there's still a practical limit to how many employees can access a particular time clock station at any given time. You may be better off going to &lt;a href="http://www.redcort.com/timeclock/tour/time-clock-software-networking.html"&gt;network computer time clock software&lt;/a&gt; which will give employees various places to punch in and out from. If I want to buddy punch, I have to either disguise my colleague to look like myself or cut off a finger! Employers don't want workers having to fiddle around with the mouse and keyboard, select their name from a list, and enter a password. Rather, they want a worker to walk up to the time clock and swipe a finger that will both recognize who they are and punch them in all from that one finger swipe. Any legitimate company shouldn't be afraid of chatting with you about their history and background. Here's a big hint. Their main goal is to send you to a site they're promoting and hope you buy the product. Because if you do, they get up to 60% of the sale!&lt;br /&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;They have a &lt;a href="http://time-card-software-review.toptenreviews.com/"&gt;time card software review&lt;/a&gt; site that has changed little in the last 4 years. If you're willing to give them $1,500, then they'll review your product and reshuffle the listings based on the review results. For another $1,500 they'll make a short video of your time card software review as well. If that's not enough, when a consumer clicks on the affiliate link to buy your time card software then they'll take a 30% or higher commission on the sale!&lt;/div&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;What do you think that says about the time card software publishers who have to buy their reviews? I find it a little ironic that my current&amp;nbsp;inspiration&amp;nbsp;has come from some time far away from the&amp;nbsp;&lt;a href="http://www.redcort.com/timeclock/"&gt;punch clock&lt;/a&gt;.&lt;br /&gt;&lt;br /&gt;Having been immersed in the thrill of leading our fast growing company, I've somehow managed to go nearly eight years without taking a&amp;nbsp;real, completely disconnected, extended vacation. My resolution for 2010 was to remedy this imbalance in my life. So my wife and I decided to celebrate our wedding anniversary by returning to Hawaii for the first time since our honeymoon&amp;nbsp;twenty-two years ago.&amp;nbsp;By the time I returned to work 12 days later, I was deeply impressed by the importance of unwinding, altering the pace, and changing scenery. The following are a few of the things I continue to reflect on a week after my return:&lt;br /&gt;&lt;br /&gt;&lt;span class="Apple-style-span" style="font-weight: bold;"&gt;Anticipation adds to the enjoyment of doing.&lt;/span&gt;&lt;br /&gt;Prior to our trip, several friends recommended we pick up a travel guide called &lt;a href="http://www.wizardpub.com/maui/maui.html"&gt;Maui Revealed&lt;/a&gt;. In the week leading up to our departure and while we were gone, my wife and I spent a number of evenings reading the book and discussing things we would like to do and see.&amp;nbsp;Maui Revealed turned out to be an unusually informative, frank, and even funny read that greatly added to the enjoyment of our vacation. &amp;nbsp;Something unexpected arrived with our reading - the joy of anticipation. We found ourselves looking forward to adventures with excitement. Many experiences were&amp;nbsp;enriched&amp;nbsp;with insights and observations that we most certainly would have otherwise missed. I return from vacation with a renewed appreciation for anticipation. I've made a commitment to be more intentional about anticipating upcoming events in my professional and personal life.&lt;br /&gt;&lt;br /&gt;&lt;div style="margin-bottom: 0px; margin-left: 0px; margin-right: 0px; margin-top: 0px;"&gt;&lt;b&gt;If you haven't experienced wonder lately, you're not completely alive.&lt;/b&gt;&lt;/div&gt;&lt;div style="margin-bottom: 0px; margin-left: 0px; margin-right: 0px; margin-top: 0px;"&gt;One of the our favorite activities on Maui was snorkeling. I cannot begin to explain the sense of wonder I felt each time I drifted along in warm, salty ocean, joining effortlessly in the unhurried life of huge sea turtles and tropical fishes of an amazing array of colors and sizes. The backdrop of coral in pink and blue and green, together with the sea life that lives among them, left me feeling like I was swimming in an enormously beautiful aquarium. Only this was completely organic and therefore unlike man's attempt to capture and imitate the beauty of nature. These adventures comforted me with the knowledge that I belong to&amp;nbsp;a benevolent maker of unimaginable&amp;nbsp;creative&amp;nbsp;genius. Unexpectedly (but I guess not surprisingly) I've discovered a renewed freshness in my own creative impulses.&lt;/div&gt;&lt;div style="margin-bottom: 0px; margin-left: 0px; margin-right: 0px; margin-top: 0px;"&gt;&lt;br /&gt;&lt;/div&gt;&lt;span class="Apple-style-span" style="font-weight: bold;"&gt;Life is richer when you enjoy others.&lt;/span&gt;&lt;br /&gt;Another unexpected highlight of our trip was the Wednesday evening we spent at&amp;nbsp;&lt;a href="http://www.warrenandannabelles.com/"&gt;Warren and Annebelle's&lt;/a&gt;&amp;nbsp;in Lahaina Town on Maui. We started the evening with such fantastic food, service, and conversation that I would have gladly paid double for the privilege. A two hour show followed that completed&amp;nbsp;one of the most enjoyable evenings we have had together.&amp;nbsp;Warren Gibson is a close-up magician with hilarious comedic timing and pretty amazing showmanship. The evening reminded me how important it is to break from my own world of activity to enjoy someone else's talents and abilities. We have committed to one another that we're going to get out a little more often!&lt;br /&gt;&lt;br /&gt;&lt;span class="Apple-style-span" style="font-weight: bold;"&gt;All work and no play makes Jack a dull boy.&lt;/span&gt;&lt;br /&gt;It's an old truism, I know. But the truth is that as the vacation ended, I returned with a new vividness in my life. As I rode my bike that first day back, I was struck by the sights and sounds and smells in the &lt;a href="http://maps.google.com/maps?client=safari&amp;amp;q=woodward+park&amp;amp;oe=UTF-8&amp;amp;ie=UTF8&amp;amp;hl=en&amp;amp;hq=&amp;amp;hnear=Woodward+Park,+Fresno,+California&amp;amp;ll=36.866335,-119.783549&amp;amp;spn=0.015948,0.022659&amp;amp;t=h&amp;amp;z=16"&gt;beautiful park&lt;/a&gt; I ride through on my way to work.&amp;nbsp;I wondered how long I had been so&amp;nbsp;dull towards the world and people around me.&lt;br /&gt;&lt;br /&gt;It's one thing to know, or even say, that&amp;nbsp;there is more to life than the pleasure of a job well done, even a job well loved. When customers need help with their &lt;a href="http://www.redcort.com/"&gt;time clock software&lt;/a&gt;, or prospective customers have &lt;a href="http://www.redcort.com/company/"&gt;questions&lt;/a&gt; about Virtual TimeClock, we want to leave them delighted by the experience. But have you ever tried to define customer service? Some would certainly say it's how well a company consistently meets the needs of its customers. But that sounds like the focus is on the company meeting some minimum level of customer acceptance, and not on the customer whose needs may be unique and not even fully known. I think the definition of good customer service can only come from the customer. If customers are delighted by the service they receive, then that's good customer service. Even though companies try to objectively measure customer service success, it's essentially individual and subjective. What it takes to delight one customer may be qualitatively and quantitatively different from what it takes to delight another.&lt;br /&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;I had a recent customer service experience that I'd like to share. I had the unpleasant duty of needing to switch my broadband from DSL to cable, which meant switching Internet service providers. I called to set everything up, a 6 month promotional rate and then 6 months at the regular rate. Of course, it took longer than I expected. Of course, I was skeptical of the promotional promises. Of course, I had been lied to by the time the transaction was completed. But it was done, I wouldn't even need to think about it for another year, or would I?&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Then I received my first invoice. I wasn't billed at the promotional rate I had agreed to when signing up. Score: Jeff = 0, ISP = 1. So I called the number on the invoice as directed if I had any billing questions. The live attendant said I'd need to call a different number before 6:00pm in order to get help with a billing question. I was thanked for my business, well wished, and asked if anything else could be done for me. Score: Jeff = 0, ISP = 2. The second call (before 6:00pm this time) went something like this: "We don't even offer a promotion for that amount", "We have a promotion that almost matches, but it requires phone service and you didn't order phone service", "The computer won't let me just enter an amount, I have to have a promotional code". I was told my best bet would be to start an instant online chat with someone in sales. Again, I was thanked for my business, well wished, and asked if anything else could be done for me. Score: Jeff = 0, ISP = 3. So I moved on to the infamous online chat. This time I was told that promotion was no longer available, but they'd see what they could do. Questions, waiting, more questions, more waiting. I was finally offered a solution that seemed satisfactory. I couldn't get the 6 month promotional rate I was promised, but I could get a slightly higher rate for a longer period of time. I immediately jumped at the opportunity because 1) this promotion may not be available after the next 5 minutes, and 2) it saved me more money in the long run than the original, and that's a good thing. Again, I was thanked for my business, well wished, and asked if anything else could be done for me. For the first time I could answer, "No thanks, you've done enough." So here's my little customer service analysis based on this recent experience.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;b&gt;What they did wrong:&lt;/b&gt;&lt;/div&gt;&lt;div&gt;&lt;ol&gt;&lt;li&gt;Don't lie to your customers, ever.&lt;/li&gt;&lt;li&gt;Don't dangle a carrot in front of your customers and then yank it away because they don't meet some hidden qualification.&lt;/li&gt;&lt;li&gt;Don't put the blame on another person, the computer, or the "system".&lt;/li&gt;&lt;li&gt;Don't make your customers do all the leg work to get their issue resolved.&lt;/li&gt;&lt;/ol&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;b&gt;What they did right:&lt;/b&gt;&lt;/div&gt;&lt;div&gt;&lt;ol&gt;&lt;li&gt;Kept accurate, up-to-date documentation in my record that even included the original promotional amount I was offered.&lt;/li&gt;&lt;li&gt;At least 1 person took responsibility until a solution was found.&lt;/li&gt;&lt;li&gt;Found something better for me, rather than just an equivalent offer.&lt;/li&gt;&lt;/ol&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Let me leave you with an analogy. Boiled chicken can meet certain of my nutritional needs, but it doesn't have much flavor. It doesn't delight the palette to say the least. But take your boiled chicken and combine it with other ingredients to make kung pao chicken, and now you've got a dish that delights the senses (at least mine, remember customer service is a subjective experience). Legend has it that St. Patrick was responsible for driving all the snakes from Ireland. That's not a bad thing to have on your resume, that is, if your island had a problem with snakes (biologists don't think there ever were any snakes in Ireland).&lt;br /&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;This got me thinking about how I want to be remembered. I mean, there could be a lot of empty space on a grave stone between the year you're born and the year you die. It's hard to come up with a one-liner that summarizes your life. It’s more commonly referred to as the ’80-20 rule’. It’s named after an Italian economist who at the beginning of the twentieth century observed that 80% of the land in Italy was owned by 20% of the population. He applied his observation at home and discovered that 20% of the pea pods in his garden contained 80% of the peas! It’s basically a rule of thumb that describes how something is shared by a particular set of participants. For example, you may see this rule in action as you wear 20% of your clothes 80% of the time, or spend 80% of your time with only 20% of your friends.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;I saw the Pareto principle alive and well with our latest time clock software release. &amp;nbsp;Here’s what I mean. Roughly 80% of our new timeclock software feature requests are for similar new functionality. This means that out of all of the feature requests we’ve received over the last several years, approximately 8 out of 10 customers consistently ask for similar new features or functionality (20% of the pea pods). The engineers were definitely able to tap into this principle when planning and developing Virtual TimeClock ’10.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Let me give you an example. The ability to track and limit the time employees have been on paid breaks has been a top requested new feature for some time. And while it seemed like a simple request, this feature required a tremendous amount of engineering effort to make it a reality. The same is true for tracking unpaid worker time and leave. Implementing these two requests completely changed timecard reports, how leave is accounted for, and how activities are tracked. However, implementing these two items at the same time with the related reporting improvements fulfilled an enormous number of our user feature requests. We also knew the 80-20 rule was in effect for the requests themselves. For every person who took the time to request these features, we knew there were many more Virtual TimeClock users who wanted the functionality but simply hadn’t submitted a request.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Rather than going for cool new eye candy, a glamorous new buzz word feature, or something a little less strenuous to implement, engineering decided to pull out all the stops and make Virtual TimeClock ’10 do more of what our users wanted it to do. It wasn't the easiest, cheapest, or quickest route to a new release. At the same time it was certainly the right thing for us to do. Virtual TimeClock ’10 gives our customers the tools they need to more effectively manage their employee time and attendance and payroll costs.&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;What does this mean for the future? Well, it definitely means biometrics, web clients, and integration with new payroll products. These things are important to us because they’re important technologies for our customers. As always, we’re letting our users drive our innovation for each Virtual TimeClock software release. Right at the top was a need to be fully computer literate – which I was not. I knew my way around a computer in the general sense, I could write papers and search the web and create a ‘facebook’ account (ha), but nothing to the point that I felt up to par with people who work at software companies!&amp;nbsp;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Oh, and working on a Mac – forget about it!&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;So how am I doing now? As a case in point, take a look at our time and attendance software. It takes that old mechanical employee time clock and replaces it with an automated time management system. Timecard reports are automatically calculated and totaled instantly. Overtime calculations are always accurate on every timecard. But automation isn't so helpful in every facet of life as a trip through phone system purgatory reminded me recently.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;I needed to correct a problem on a bill from a large utility company so I called the not so prominent help number displayed in the smallest imaginable font on the back of my bill. A delightful voice answered the phone and promptly asked me what language I’d like to continue in. I was tempted to say Sumerian, but decided to play it safe and continue in English. The same delightful female voice asked what my call was regarding. I was a little taken aback since I was expecting to hear a list of numerical choices to punch into my telephone keypad. My delayed response was not well received on the other end of the phone line. The still delightful voice told me in no uncertain terms that she didn’t recognize my response and that if I would be so kind as to state the purpose of my call she wouldn’t immediately terminate me, I mean terminate the call.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;I sputtered something akin to “Billing question” and winced. She kindly repeated my response and then proceeded to ask me other pointed questions. I was starting to get the hang of this and in no time was rattling off responses like a pro. The best part about it was that she was polite, never lost patience, and spoke the King’s English.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Then the unfathomable happened. We came to a point in our conversation where she wasn’t happy with anything I said. I found our new relationship deteriorating rapidly and with a rookie move hit “0” for the operator. I thought that was my ace in the hole, it works all the time. Unfortunately, in this case a not so friendly voice firmly informed me to call back during regular business hours. Immediately, I was thrust back into the role of regular Joe, my fast track relationship with the pleasant auto attendant quickly forgotten.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Like many companies, we jumped on the phone system bandwagon many years ago, thinking the same thoughts as many small businesses, “An automated phone system will improve our time management by answering calls and routing them more efficiently than we can.” We've deliberately kept it simple over the years, limiting the system to one level of voice prompts. Our auto attendant has served us and our customers well. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Though we've never had complaints about our telephone system, at a recent management meeting we discovered everyone had a phone system horror story in our dealings with other companies. Since our culture is to treat others as we like to be treated, we quickly decided it was time to send our faithful auto attendant to an early retirement and pick up the telephone the old fashioned way.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;For the past month, every Redcort Software call is answered by a live, friendly, helpful human being during business hours.  It's pretty retro but we like it!  Customers have been commenting on how great it is to have a live person pick up the phone. I’ve even heard them fumbling around on the other end of the line trying to take the phone off speaker because we answered so quickly.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;That's our story. I’m not saying that auto attendants are bad. I’m just saying that when it comes to automation, I’d much rather deal with time clock software. Jessie is a perfect fit in the customer care role. She's smart, spunky and takes genuine personal interest in people. She's super organized and pays attention to details. The question was what to do with with the original edition of Virtual &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_1"&gt;TimeClock&lt;/span&gt; that had been so popular for over a decade? We decided to &lt;span class="blsp-spelling-corrected" id="SPELLING_ERROR_2"&gt;re brand&lt;/span&gt; the original (less featured) software as our 'Virtual &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_3"&gt;TimeClock&lt;/span&gt; Standard Edition'.  As a simple time clock software at a low price, it recorded employee hours and printed &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_4"&gt;timecards&lt;/span&gt; as it always had. Unsurprisingly, the Standard Edition continued to be a popular product for us.&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;At the same time we knew the Standard Edition had a limited life span. The development tools we'd used to build the time clock software were no longer supported. To make matters worse, it was impossible to publish a Microsoft Windows version of the software since it was developed for Apple Macintosh OS 9 computers.  After a couple of years new Macs were all shipping with the shiny new OS X operating system. Eventually Virtual &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_5"&gt;TimeClock&lt;/span&gt; Standard Edition wouldn't even launch on a new Mac. &lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;The Standard Edition of Virtual &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_6"&gt;TimeClock&lt;/span&gt; software finally died a quiet and dignified death after a very long life. The huge popularity of our replacement Pro Edition blunted any sadness. It was also somehow comforting to know that Virtual &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_7"&gt;TimeClock&lt;/span&gt; Standard Edition  was joined by a host of other previously popular Mac OS 9 software.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;This would be the end of the story except for an interesting trend that began to develop a little more than a year ago. We noticed an uptick in small businesses and &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_8"&gt;startups&lt;/span&gt; contacting us looking for a simple time clock software solution at a budget price. We agonized initially, realizing Virtual &lt;span class="blsp-spelling-error" id="SPELLING_ERROR_9"&gt;TimeClock&lt;/span&gt; Standard Edition software would have been a wonderful fit in this space. We wished there was cross platform version of our faithful old Standard Edition time clock software.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Then the unthinkable happened. You know the one, long hours sitting in the backseat of your parent’s car. You’re hungry, tired, and your little your sister keeps crossing the invisible boundary onto your side of the seat.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Back before the iPod, portable DVD players, and Game Boy Advance (the Atari 2600 wasn’t exactly mobile), we traveled the country in the backs of our parent’s cars with only one weapon in our time tracking arsenal… “Are we there yet?” I could see the back of my mother’s shoulders tense up each time the question was asked, my father remained grim faced and just depressed the gas pedal a little harder.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Over the past two years of trying to get our new time clock software to market, I’ve replayed those scenes from my childhood more often than I care to admit. It started out innocent enough, telling our customers about all the cool new features coming with the new time clock (Sure, you’ll be able to have breakfast with Donald Duck!). I mean nothing satisfies me more than being able to tell people what they want to hear. “You’ll be able to create as many leave categories as you want!” “No problem, you’ll be able to setup as many different overtime rules as you need!” “The server will even run as a background service!” “That’s coming in the next release!” The list goes on and on.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;After awhile I began to doubt that what I was telling customers was ever really going to happen. The director of engineering kept assuring me it was just a matter of a little more time. Management meetings allowed me to witness the unveiling of key components in our time clock software engineering cycle. What I didn’t realize was that every time I told a customer “Display Groups in the upcoming release will solve that problem for you” an engineer heard “Are we there yet?” Shoulders tensed up and the gas pedal of the engineering machine just seemed to push a little harder.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Nothing restores a ten year old’s faith in his parent’s ability to provide for his happiness than being welcomed into the Magic Kingdom by Goofy’s timeless grin. Ah, the wait is over. Life is once again in balance. Even a whiny little sister doesn’t seem so troublesome now. Marching through those gates makes you forget all the things you went through to get there. Mother looks much more relaxed, and even Father looks a little less grim.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;The excitement has returned to the Redcort Software technical support team with the release of Virtual TimeClock ‘09. “You’ll soon be able to…” has turned into “Now you can... Let me show you how!” We’ve forgotten the endless hours spent testing time clock conversions, scrutinizing time card reports, and comparing timesheets.&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Are we there yet? Oh yeah. When we shipped &lt;a href="http://www.redcort.com/timeclock/"&gt;Virtual TimeClock '09 Release 2 &lt;/a&gt;on April 8, we all began to believe that we had successfully pulled back from the brink. Some back story (over a couple of posts) will help you to appreciate the journey. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;As far back as 2003, we knew we had to stop the insanity of our engineering cycle. Like every other software publisher, we were going more than a little bonkers, often working around the clock and missing deadlines trying to crank out monolithic upgrades to our time clock software every 18-24 months.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Our 'periodic major upgrade' mode had created an overwhelming engineering schedule where everything had to be decided a year or more ahead of time. First we had to accurately determine what new features our customers would need two years from now. In addition we needed a crystal ball to tell us about the technical advances and changes in the next version of Mac OS X and Microsoft Windows operating systems. Add to the mix new state or federal rules that would be coming regarding time and attendance reporting, overtime, vacation, timecards and time tracking rules. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;This volatile mix of planning and priorities became a certain  recipe for an explosive development cycle for Virtual TimeClock. It was certain in the earliest stages of planning that the time clock software upgrade we were envisioning would morph, delay, and challenge us as we adapted real-time to a world that unfolded quite differently than our predictions.  &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;In 2004 we realized the Internet could revolutionize our engineering cycle. In the same way that the Internet facilitated direct customer interaction and&lt;a href="http://www.redcort.com/download/"&gt; free time clock software downloads&lt;/a&gt;, it would also change our approach to software development.  The wide spread adoption of high speed Internet meant that electronic distribution of software was now trivial for our customers. We could release software in incremental updates 2-3 times a year, allowing us to predict and plan for our customer's time clock software needs months rather than years in the future.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;Indeed, Redcort Software became a much better place to work following the release our last major upgrade, Virtual TimeClock 5.0 in December 2004. After the huge 5.0 upgrade, we settled into a wonderful rhythm of incremental time clock software releases 2-3 times a year. We loved it and our customers loved it. In this period we shipped Virtual TimeClock updates as soon as a needed new feature was ready, when a government regulation took effect, or when we needed a compatibility update for a new OS release from Microsoft or Apple. Life was good in the land of Redcort Software! Our report writer was enhanced for customized timesheet and timecard reports. We added timecard entry auditing and a fully automated timeclock database backup system.  Apple OS X 10.5 Leopard support and Microsoft Windows Vista compatibility was maintained as each OS was released.&lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;By the middle of 2007 we faced a grim reality. As the effects of Apple's switch to Intel processors reached us in a practical way, we realized that we had a huge software development challenge ahead of us. Reluctantly, we found ourselves in the insanity of a major upgrade. The next Virtual TimeClock release would become our largest software upgrade in 10 years. By the end of 2008 we all started to wonder if the insanity of a major upgrade would indeed be temporary. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;The release of Virtual TimeClock '09 marked the triumph of a successful major upgrade. This release was by far our most significant upgrade since shipping the original Professional Edition of Virtual TimeClock back in the fall of 2000. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;It seems strangely fitting for the February inauguration of our new blog to be posted in April. The prior two years of software development represent more work hours and personal sacrifices than any of us (or our patient families) would care to admit. As the month rolled by we often found consolation in our iTunes playlists. Darius Rucker's soulful "Time" was often played when yet another delay was forced upon us by our commitment to get this software release just right. Time punished me far too often over the blur that I now realize was the first half of my 48th year. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;With the shipping of product and arrival of spring, our personal and professional lives are in a promising early bloom. In spite of difficult economic times, we're enjoying a fantastic reception to Virtual TimeClock '09. &lt;br /&gt;&lt;/div&gt;&lt;div&gt;&lt;br /&gt;&lt;/div&gt;&lt;div&gt;I've been pleasantly surprised to note that the buzz around the office these days isn't so much about our wonderful &lt;a href="http://www.redcort.com/timeclock/"&gt;new time clock software release&lt;/a&gt; or our shinny &lt;a href="http://www.redcort.com/"&gt;new web site&lt;/a&gt;. We're telling stories about how we use our creativity, skills and energy to create something that is helpful to others.
